Example

A year-end records chase that stops itself

A Karbon or FYI job checklist sends a polite reminder sequence for missing records, escalates on a schedule, and stops when the document lands in the client's folder. In this example the partner gets one weekly list of who is still outstanding, instead of the team tracking it in their heads.

Stays with a person: deciding when a client needs a phone call instead of another email.

Meeting to file note to follow-up email

A business-tier notetaker records the client meeting (with the client's consent), writes the file note into the client record, and drafts the follow-up email from your approved template.

The engagement letter is drafted from the proposal, the ID request goes out, and the documents are filed against the client. AI pre-fills the customer due diligence record from what came back.

Xero, Karbon and Dext are all adding AI features of their own. Most of the work is switching on and tuning what you already pay for, then joining the pieces that don't talk to each other. We only add a new tool when there is a gap nothing in your stack covers.

We don't resell software and we don't take commission. If the right answer is a setting you already have, or a $30 app, that's what we'll tell you.

Practice questions

Can we use AI without breaching client confidentiality?

Yes, with care. Use business-tier tools with training turned off, know where each tool stores data, and keep client-identifiable information out of free consumer chatbots. Check your professional body's current guidance on technology and confidentiality too. The audit includes a data note for every tool it recommends.

Xero and Karbon already have AI. Why would we need you?

You may not. We usually start with what's already in your stack. The gaps tend to be between tools: the email that should become a Karbon task, the file note that should land in FYI. If a setting and a $20 app solve it, the audit says so.

Will AI do our AML/CFT checks?

No. It can help collect ID documents, chase what's missing and pre-fill the record. The risk assessment and the decision stay with the firm and your compliance officer.

We tried ChatGPT and it got a tax rule wrong. Why trust it now?

Don't trust it on tax rules. We use AI for drafting, sorting and chasing, and nothing we build sends anything to a client or IRD without a person checking it first.

We're flat out until after 31 March. Is now a bad time?

The audit starts with one interview, and we write it up. Build work can wait for a quieter month. The audit fee is credited against an Implementation booked within 60 days of delivery.

What does it cost?

The check is free. The Opportunity Audit is $700 + GST. Implementation starts from $1,500 + GST with a fixed written quote. A Partnership is from $1,000/month + GST and covers a new automation each month plus upkeep of what's built.

Can we get government funding for this?

Possibly, but not through us. The Government's AI Advisory Pilot co-funds work done by approved providers, and Even Odds is not one. If you qualify, your Regional Business Partner can connect you with an approved provider. Our funding page explains how the pilot works.
