The Monday spreadsheet eats the owner’s morning
To see how the business is really going, someone exports jobs from ServiceM8 or Fergus, exports invoices from Xero, and pastes them into a spreadsheet that only one person understands.
It takes a couple of hours, so it doesn’t happen every week. When it does, the numbers are already out of date.
Which jobs lost money, which quotes never turned into work, which tech is flat out and which is quiet: you find out at month end, or not at all.

The measures are worked out
Job profit (what you charged, less recorded labour and materials), quote win rate, debtor ageing (who owes what, and for how long) and tech utilisation (hours booked against hours available). Plain sums, the same way every week.

AI used here
A short summary is written (optional)
AI writes three or four plain sentences on what changed since last week. It only describes the numbers already worked out. It doesn’t calculate anything.

We go through the first reports with you against your own records, until you trust the numbers.

This one is simple to count. Before the build we note how long the weekly report takes now and how often it actually gets done. Thirty days after go-live we check again.

We don’t promise a figure in advance. We measure yours, before and after, and give you both.
Where AI is used, and where it isn’t
AI is only used where the input is messy or where wording needs drafting. Everything else is fixed rules that do the same thing every time.

Plain rules handle
- Every number in the report. These are plain sums from your own data
- Pulling data from your job system and Xero
- Sending the report on schedule
The numbers never come from AI. If you’d rather have no summary at all, it works just the same.

On Tradify? Tradify has no public API, so we can’t connect to it directly. Builds are limited to your inbox and Xero. We’ll tell you on the intro call whether that’s worth doing.

Paid by you, at cost
Running costs are usually just an automation tool plan (Make, n8n or Zapier) of under about $30 a month. Google Sheets and Looker Studio are free to use with a Google account. The optional summary adds very little AI cost.
Tools run in your own accounts and are billed to you directly. No markup.

Questions people ask
Why is it $3,500 to $6,000 and not a fixed $3,000?
Because it depends on how many systems it reads from and how tidy the data is. You get a fixed quote in writing before any work starts, and that’s the price.
How accurate is job profit?
As accurate as what’s recorded in your job system. If techs don’t log time or materials against jobs, the report shows where the gaps are rather than guessing. Often that’s the first useful thing it tells you.
Can I change what’s in it later?
Small changes are covered in the 30 days of tuning, and under Flow Care. A big new section is quoted separately.
Who else can see it?
Whoever you choose. It goes to the email addresses you pick and lives in your own Google account. We don’t keep a copy.
