Fergus + Xero

You run Fergus and Xero. We make them work as one.

Enquiries land in Fergus as jobs with the details filled in. Quiet quotes get followed up. Overdue invoices get chased until they’re paid. You get one report on Monday morning. Built by Miro in Wellington, in your own accounts, for a fixed price.

Fixed prices + GST. Built in your own accounts.

Who it’s for

Trades firms of about 6 to 50 staff on Fergus

Owner-managed New Zealand trades firms that run their jobs in Fergus and their books in Xero. Fergus is built in New Zealand for trades, and it already covers a lot. The work that’s left is the admin between Fergus, your inbox and Xero.

  • Plumbers
  • Electricians
  • Builders
  • HVAC
  • Roofers
  • Landscapers
  • Cleaning companies
  • Maintenance companies

Probably not a fit

  • Sole traders and teams under about five. There isn’t enough repeated work to pay back a build.
  • Anyone after an AI receptionist or website chatbot. We don’t build those.
  • Training days or an AI strategy deck. We build working flows, not slides.
Where the gaps are

Fergus runs the job. The gaps are either side of it.

Fergus and Xero already share invoices. Most of the retyping and remembering happens before a job exists and after the invoice goes out.

  • Work that starts outside Fergus

Enquiries come in by web form, email, text and Facebook. Someone reads each one and retypes it into Fergus as a job or lead. When the office is busy, replies wait.

  • Things that should happen on their own

A quote goes quiet. A job finishes. An invoice passes 14 days. Each one should trigger the next step. Today it waits until someone remembers to click.

  • Reporting across two systems

Job profit, quote win rate and who owes what live partly in Fergus and partly in Xero. Putting them side by side is a spreadsheet job most owners don’t get to.

What we build on Fergus

Three flows, built around Fergus and Xero

Each one has a number you can count without any analytics. You approve anything a customer sees.

Enquiry to Quote

Enquiries from your web form, email, text and Facebook become Fergus jobs with the customer, site address and description filled in. AI reads the free-text message and drafts a quote from your own price list. It waits for you to check and send.

What you count: time to first reply, and quotes sent per week.

Get Paid

Quotes that haven’t been accepted get a follow-up on a schedule you set. Finished jobs reach Xero as invoices without retyping. Overdue invoices get reminders that get firmer as they age, for example at 7, 14 and 30 days, then land on your list for a phone call. Everything stops the moment the quote is accepted or the invoice is paid.

What you count: days to payment, and dollars overdue.

Owner Dashboard

One weekly view built from Fergus and Xero: profit by job, quote win rate, who owes what and for how long, and how busy each tech is. It arrives Monday morning, in your inbox or a shared sheet.

What you count: the report nobody has to put together by hand.

What we don’t sell

What Fergus and Xero already do, so we don’t sell it

If a setting you already pay for solves the problem, we’ll tell you on the call and you won’t need us. We build only the parts that sit between the apps.

Vendors add features often, and plans differ. Check what yours includes before paying anyone, us included.

Fergus

  • Quoting, scheduling, job cards and invoicing all happen inside Fergus.
  • Fergus syncs invoices to Xero. We don’t rebuild that.
  • Fergus adds features regularly. Check your plan before you pay for anything that sounds similar.

Xero

  • Xero has its own automatic invoice reminders. Our guide on Xero invoice reminders shows how to switch them on.
  • Bank reconciliation and online invoice payments are Xero’s job, not ours.
How we connect

Through the Fergus API and your own automation account

The plumbing

Fergus has an open API and a Zapier integration. Depending on the flow, we use one or both. If you already have Zaps running, we work with them rather than around them.

The flows run on your own Make, n8n or Zapier account, set up in your name. Xero connects through its standard app connection, the same way your other Xero add-ons do.

We check what your Fergus plan allows on the intro call, before you pay anything.

Lines we hold

  • Everything is set up in your name: your automation account, your Fergus, your Xero.
  • You pay tool and AI bills directly, at cost. A follow-up flow typically runs under about $30 a month plus a few dollars of AI.
  • Nothing goes to a customer until you’ve approved the wording.
  • You get the credentials and a plain-English runbook, so you’re never locked out.
  • AI only where the input is messy, like reading a free-text enquiry. The rest is plain automation.

Fergus questions

Fergus already does quoting and invoicing. Why add anything?

Fergus runs the job well. The gaps are the enquiries that arrive outside it, the quotes nobody follows up, the overdue invoices that need a firmer nudge, and a weekly view across Fergus and Xero. If a Fergus setting already solves it, we’ll say so.

We already use Zapier with Fergus. Can you work with that?

Yes. We look at what’s running first and build on it where it makes sense. Everything stays in your Zapier account, or in Make or n8n if that suits the flow better.

Will anything go to a customer without us seeing it?

No. Draft quotes wait for you to approve them. You sign off the wording of every follow-up and reminder before it goes live, and everything stops the moment a quote is accepted or an invoice is paid.

What does it cost?

A Flow Sprint is $3,000 + GST, fixed, for one flow. Flow Care is $300 a month + GST per live flow and is optional. The optional Flow Map is $800 + GST, credited in full against a sprint booked within 60 days. The first three customers get the sprint for $2,200 + GST.

What if the flow isn’t live in 14 days?

Half the sprint fee comes back. The 14 days start when we have access to your accounts. It’s a deadline guarantee, not a promise about results, because how your team uses the flow is up to you.
