ServiceM8 runs the job. The gaps are either side of it.

ServiceM8 and Xero already talk to each other about invoices. Most of the retyping and remembering happens before a job exists and after the invoice goes out.

    Enquiries come in by web form, email, text and Facebook. Someone reads each one and retypes it into ServiceM8 as a job or lead. When the office is busy, replies wait.

  • Things that should happen on their own

    A quote goes quiet. A job finishes. An invoice passes 14 days. Each one should trigger the next step. Today it waits until someone remembers to click.

  • Reporting across two systems

    Job profit, quote win rate and who owes what live partly in ServiceM8 and partly in Xero. Putting them side by side is a spreadsheet job most owners don’t get to.

Enquiries from your web form, email, text and Facebook become ServiceM8 jobs with the name, address, phone and job description filled in. AI reads the free-text message and drafts a quote from your own price list. It waits in ServiceM8 for you to check and send.

What you count: time to first reply, and quotes sent per week.

Get Paid

Quotes that haven’t been accepted get a follow-up on a schedule you set. Finished jobs reach Xero as invoices without retyping. Overdue invoices get reminders that get firmer as they age, for example at 7, 14 and 30 days, then land on your list for a phone call. Everything stops the moment the quote is accepted or the invoice is paid.

What you count: days to payment, and dollars overdue.

What we don’t sell

What ServiceM8 and Xero already do, so we don’t sell it

If a setting you already pay for solves the problem, we’ll tell you on the call and you won’t need us. We build only the parts that sit between the apps.

Vendors add features often, and plans differ. Check what yours includes before paying anyone, us included.

ServiceM8

  • ServiceM8 now includes help with writing quotes and job notes. Check your plan.
  • It can invoice from a finished job and sync invoices and payments to Xero.
  • It offers an AI phone answering add-on. We don’t build phone answering.

Xero

  • Xero has its own automatic invoice reminders. Our guide on Xero invoice reminders shows how to switch them on.
  • Bank reconciliation and online invoice payments are Xero’s job, not ours.
How we connect

Through ServiceM8’s API and your own automation account

The plumbing

ServiceM8 has a public API that lets approved software read and create jobs, clients and quotes. Access is granted from your own ServiceM8 account, so you can switch it off at any time.

The flows run on your own Make, n8n or Zapier account, set up in your name. Xero connects through its standard app connection, the same way your other Xero add-ons do.

We check which ServiceM8 plan you’re on and what it allows on the intro call, before you pay anything.

Lines we hold

  • Everything is set up in your name: your automation account, your ServiceM8, your Xero.
  • You pay tool and AI bills directly, at cost. A follow-up flow typically runs under about $30 a month plus a few dollars of AI.
  • Nothing goes to a customer until you’ve approved the wording.
  • You get the credentials and a plain-English runbook, so you’re never locked out.
  • AI only where the input is messy, like reading a free-text enquiry. The rest is plain automation.

    One named flow, built in two weeks in your own accounts. Includes monitoring and alerts, a runbook and 30 days of tuning. Live within 14 days of kickoff, or half the fee comes back.

  • Optional

    Flow Care

    $300/month per flow + GST

    Monitoring, fixes when a vendor changes something, and a monthly report in your own numbers. Month to month, 30 days’ notice.

  • First three customers

    Founding rate

    $2,200 + GST

    The full sprint, in exchange for a before-and-after measurement, a named case study and one introduction.

ServiceM8 questions

ServiceM8 already sends invoices to Xero. What’s left to automate?

That sync covers the invoice itself. The gaps are before and after it: enquiries that arrive outside ServiceM8, quotes nobody follows up, overdue invoices that need a firmer nudge, and a weekly view across both systems. If a setting you already have solves it, we’ll say so.

Do we need to change our ServiceM8 plan or add new software?

Usually not. We build on your current ServiceM8 and Xero, plus a Make, n8n or Zapier account in your name. Some flows need API access on your ServiceM8 account, and we check that on the intro call before you pay anything.

Will anything go to a customer without us seeing it?

No. Draft quotes wait for you to approve them. You sign off the wording of every follow-up and reminder before it goes live, and everything stops the moment a quote is accepted or an invoice is paid.

What does it cost?

A Flow Sprint is $3,000 + GST, fixed, for one flow. Flow Care is $300 a month + GST per live flow and is optional. The optional Flow Map is $800 + GST, credited in full against a sprint booked within 60 days. The first three customers get the sprint for $2,200 + GST.

What if the flow isn’t live in 14 days?

Half the sprint fee comes back. The 14 days start when we have access to your accounts. It’s a deadline guarantee, not a promise about results, because how your team uses the flow is up to you.

What happens if you’re not around?

Everything runs in your own accounts. You get the credentials and a plain-English runbook, so anyone you choose can look after it. Flow Care is there if you’d rather we did.
