    A large quote goes quiet. A stage finishes. A progress claim passes its due date. Each one should trigger the next step. Today it waits until someone remembers.

  • Reporting across two systems

    Job profit, quote win rate, retentions and who owes what live partly in Simpro and partly in Xero. Putting them side by side is a spreadsheet job most owners don’t get to.

Enquiry to Quote

Enquiries from your web form, email, text and Facebook become Simpro leads with the customer, site and scope filled in. AI reads the free-text message and pulls out what your estimator needs. For simple jobs it drafts a quote from your own price list. For bigger ones it gets the lead ready, so your estimator starts from a clean brief.

Quotes that haven’t been accepted get a follow-up on a schedule you set, with a call reminder for the big ones. Invoices and progress claims reach Xero without retyping. Overdue amounts get reminders that get firmer as they age, then land on your list. Everything stops the moment it’s paid or accepted.

What we don’t sell

What Simpro and Xero already do, so we don’t sell it

Simpro is a big system and many firms use a fraction of it. If a setting you already pay for solves the problem, we’ll tell you on the call and you won’t need us.

Vendors add features often, and plans differ. Check what yours includes before paying anyone, us included.

Simpro

  • Quoting, scheduling, stock, staged and progress invoicing are all built into Simpro.
  • Simpro syncs invoices to Xero. We don’t rebuild that.
  • Simpro has its own reporting. Check what your plan includes before paying for a dashboard.

Xero

  • Xero has its own automatic invoice reminders. Our guide on Xero invoice reminders shows how to switch them on.
  • Bank reconciliation and online invoice payments are Xero’s job, not ours.
How we connect

Through the Simpro API and your own automation account

The plumbing

Simpro has an API that lets approved software read and create leads, quotes, jobs and invoices. Access is set up in your own Simpro account.

The flows run on your own Make, n8n or Zapier account, set up in your name. Xero connects through its standard app connection, the same way your other Xero add-ons do.

We check what your Simpro plan and set-up allow on the intro call, before you pay anything.

Lines we hold

  • Everything is set up in your name: your automation account, your Simpro, your Xero.
  • You pay tool and AI bills directly, at cost. A follow-up flow typically runs under about $30 a month plus a few dollars of AI.
  • Nothing goes to a customer until you’ve approved the wording.
  • You get the credentials and a plain-English runbook, so you’re never locked out.
  • AI only where the input is messy, like reading a free-text enquiry. The rest is plain automation.

    $3,000 + GST fixed

    One named flow, built in two weeks in your own accounts. Includes monitoring and alerts, a runbook and 30 days of tuning. Live within 14 days of kickoff, or half the fee comes back.

  • Optional

    Flow Care

    $300/month per flow + GST

    Monitoring, fixes when a vendor changes something, and a monthly report in your own numbers. Month to month, 30 days’ notice.

  • First three customers

    Founding rate

    $2,200 + GST

    The full sprint, in exchange for a before-and-after measurement, a named case study and one introduction.

Simpro questions

Can you help with progress claims?

We can follow them up. The claim itself stays in Simpro, where your team builds it. Get Paid watches what’s due in Xero, sends reminders on the dates you set and puts anything overdue on your list. Your contract terms set the dates. We don’t give legal advice on payment claims.

Simpro already has reporting. Why an Owner Dashboard?

If Simpro’s reports give you what you need, use them. The dashboard is for owners who want job numbers and Xero numbers side by side in one place, without logging into either.

Will anything go to a customer without us seeing it?

No. Draft quotes wait for you to approve them. You sign off the wording of every follow-up and reminder before it goes live, and everything stops the moment a quote is accepted or an invoice is paid.

What does it cost?

A Flow Sprint is $3,000 + GST, fixed, for one flow. The Owner Dashboard is a bigger build at $3,500 to $6,000 + GST, quoted in writing first. Flow Care is $300 a month + GST per live flow and is optional. The first three customers get a sprint for $2,200 + GST.

What if the flow isn’t live in 14 days?

Half the sprint fee comes back. The 14 days start when we have access to your accounts. It’s a deadline guarantee, not a promise about results, because how your team uses the flow is up to you.
