Owner-managed New Zealand wholesalers, distributors and light manufacturers on Cin7 or Unleashed, with Xero for the books and often Shopify for online or trade orders. The systems are in place. The admin between them is what keeps the office late.

Where the gaps are

Your inventory system runs the stock. The gaps are around it.

Cin7 and Unleashed both connect to Xero and Shopify. The retyping happens where orders, price lists and reports come from somewhere else.

  • Orders that start outside the system

    Trade orders and enquiries come in by email, PDF purchase order, phone message and web form. Someone reads each one and keys it in.

  • Things that should happen on their own

    A supplier sends a new price list. Stock runs low on a fast seller. A trade account passes its terms. Each one should trigger the next step. Today it waits until someone notices.

  • Reporting across systems

    Margin by product and customer, stock cover and debtor ageing live partly in Cin7 or Unleashed and partly in Xero. Putting them side by side is a spreadsheet job most owners don’t get to.

The same idea as our three trades flows, adapted for stock. Each one has a number you can count. You approve anything a customer sees.

Order and enquiry intake

Orders and enquiries from email, PDF purchase orders and web forms become draft sales orders or quotes in Cin7 or Unleashed, with the customer and products matched. AI reads the messy ones. Anything it isn’t sure about waits for a person.

What you count: time from order received to order entered.

Stock, prices and supplier lists

Stock levels and price changes reach Shopify on a schedule you set, including trade price tiers where your connector doesn’t handle them. Supplier price lists arrive as spreadsheets or PDFs and get loaded as a draft update for you to check. Quoted as a custom build.

What you count: hours spent on price-list updates each month.

Get Paid and the Owner Dashboard

Overdue trade accounts get reminders that get firmer as they age, then land on your list. Everything stops when it’s paid. A weekly view built from your inventory system and Xero shows margin by product and customer, stock cover and debtor ageing, every Monday morning.

What you count: days to payment, dollars overdue, and the report nobody builds by hand.

What we don’t sell

What Cin7, Unleashed and Xero already do, so we don’t sell it

If a setting or connector you already pay for solves the problem, we’ll tell you on the call and you won’t need us.

Vendors add features often, and plans differ. Check what yours includes before paying anyone, us included.

Cin7 and Unleashed

  • Both connect to Xero and to Shopify out of the box. We build only where your connector leaves a gap.
  • Cin7 ships its own demand forecasting. We don’t sell forecasting.
  • Purchasing, stock control and assemblies are their job, not ours.

Xero

  • Xero has its own automatic invoice reminders. Our guide on Xero invoice reminders shows how to switch them on.
  • Bank reconciliation and online invoice payments are Xero’s job, not ours.
How we connect

Through the vendor APIs and your own automation account

The plumbing

Cin7 has an API for orders, products, stock and customers. Unleashed has an API too. We check what your plan exposes on the intro call, before you pay anything.

The flows run on your own Make, n8n or Zapier account, set up in your name. Xero and Shopify connect through their standard app connections.

Price and stock changes are tested on a copy or a small set of products first, so a mistake never reaches the whole store.

Lines we hold

  • Everything is set up in your name: your automation account, your Cin7 or Unleashed, your Xero.
  • You pay tool and AI bills directly, at cost. A follow-up flow typically runs under about $30 a month plus a few dollars of AI.
  • Nothing goes to a customer until you’ve approved the wording.
  • You get the credentials and a plain-English runbook, so you’re never locked out.
  • AI only where the input is messy, like reading a free-text enquiry. The rest is plain automation.

    One named flow, built in two weeks in your own accounts. Includes monitoring and alerts, a runbook and 30 days of tuning. Live within 14 days of kickoff, or half the fee comes back.

  • Optional

    Flow Care

    $300/month per flow + GST

    Monitoring, fixes when a vendor changes something, and a monthly report in your own numbers. Month to month, 30 days’ notice.

    The full sprint, in exchange for a before-and-after measurement, a named case study and one introduction.

Cin7 and Unleashed questions

Cin7 and Unleashed already connect to Shopify. Why would we need you?

You may not. If the built-in connector does what you need, keep it. We help where it falls short, for example trade price tiers, a second store, or supplier price lists that arrive as PDFs.

Do you sell demand forecasting?

No. Cin7 ships its own forecasting, and we don’t sell anything a vendor already does inside its own app. We focus on the work between your systems.

We’re on Unleashed. Can you connect to it?

Unleashed has an API. What it lets us do can depend on your plan, so we check that on the intro call before you pay anything.

What does it cost?

A Flow Sprint for one flow is $3,000 + GST, fixed. Stock sync, price-list imports and the Owner Dashboard are custom builds at $3,500 to $6,000 + GST, quoted in writing first. Flow Care is $300 a month + GST per live flow and is optional.

Will anything go to a customer without us seeing it?

No. Draft orders and quotes wait for a person to check them. You sign off the wording of every reminder before it goes live, and price changes go in as drafts until you approve them.
