Why it matters
Quotes that go out the same day win more of the work. Quotes that go out on Sunday night lose some of it to whoever replied faster. Taking the typing out of quoting is the quickest way to close that gap.
Quotes built from your own price list also come out consistent. The pricing you carry around in your head gets written down once, so the quote you send on a tired Friday matches the one you send on a Monday morning.
How it works
- You or the estimator jot or dictate the job on site: scope, sizes, materials, anything tricky.
- AI turns the notes into line items, matched to the items and labour rates in your price list.
- A draft quote appears against the job in ServiceM8, Fergus or Simpro.
- You adjust the number, approve it and send it from the job system as usual.
Where AI is used, and where it isn’t
- AI: Turning loose notes or a voice memo into tidy line items and a short scope description.
- Plain rules: Every price, markup and labour rate comes from your price list, not from AI. Nothing is sent until you approve it.
You approve anything a customer sees before the flow goes live, and the flow runs in your own accounts.
What changes day to day
You dictate the job into your phone from the driveway. By the time you are back at the van, a draft quote is sitting against the job with the line items filled in. You change what needs changing, check the total reads right, and send it from the job system like any other quote.

- Quotes stack up and go out days after the site visit.
- You have lost work to whoever quoted first.
- Only one person can write a quote, and they are also on the tools.
Worth knowing
- The draft is only as good as the price list behind it. Keep it current when supplier prices move.
- Always check the number yourself. AI is good at the wording, not at judging a difficult site.
- Big or unusual jobs still deserve a proper sit-down quote. This is for the everyday work.
